Project

A Project is a planned piece of work that is designed to produce an output with defined goal and deadline. 

A Project has a broad scope and hence can be divided into tasks. It's recommended to break down projects to smaller tasks whenever possible.

Each task within a Project can be assigned to an individual or a group of individuals to distribute work among team members.

How to create a project

  1. Go to the Project list and click on New.

  2. If using quick entry add:

    • Project Name: Title of the Project.

    • Project Status: The default status of a Project is going to be 'Open' which can later be changed to 'Completed' or 'Cancelled'.

    • Expected End Date: Enter the date on which you aim to finish the project.

    • Save

  3. On the Detailed form view add the following Information

    • Expected Start/End date

    • Project type: Internal for internal projects and External for projects for customers. Internal projects are projects that are used for internal purpose including Tender preparation.

    • Customer detail: Link Customer and Contact form the drop down link

    • Sales Order and Opportunity: If a Sales order is available link the sales order or Opportunity if the project is Tender for example.

    • Department: Select the department the project belongs to. Each department can have specific additional information:

      1. Events: For the event department use the Event Details tab to fill out the event details like Event location, Time schedule and more.

    • Billing and Costing:

      1. Expense Estimate Table: add the list of expenses for a project with the required information like Vendor, Description, Projected Expense and Actual Expense fields.

      2. Total Budget: The total budget of the project

      3. Billing: Information about the Billing status including Payment status, Payment term template, Amount Paid and Amount

Project/Task assignment

  • Account Managers and Team leaders can create and assign projects to other team members.

  • Use the Assign To section to select and assign projects to Team members.

  • Team leaders break down the projects into tasks, distribute the tasks to team members, track the progress of tasks and update project status accordingly.

Task

  • Tasks can be created from the project page + Add Task button.

  • Kanban view is an intuitive way to add tasks and assign users and update status of tasks.

  • When all the status of tasks in a project are completed the status of the project will be updated to Completed automatically.
